Mortgage Operations Manager

Exempt Status:

Reports to:                            

Director of Mortgage Lending

Summary of the Job:            Responsible for directing the job functions, training and coaching, as required, of the mortgage operations staff. Assists assigned loan officers in handling customer requests in a professional manner.

Essential Functions:                       

  • Manage all areas of Mortgage Operations including setup, processing, underwriting, closing, and post-closing.
  • Understands process design, all relevant lending regulations, loan programs, processing, funding, and delivery.
  • Implements effective operation policies and procedures to ensure compliance with state and federal regulations as well as internal compliance requirements
  • Supervises the workflow in the Operations unit by assigning the personnel necessary to meet schedule requirements.
  • Makes recommendations to improve department operations. Implements new work procedures as approved. 
  • Communicates with management team to coordinate system and control activities related to loan documentation and monitoring.
  • Works with Director of Lending and Credit Risk on the development and implementation of new loan programs.
  • Interacts with auditors, loan review, compliance, and examiners to assist in Bank reviews and examinations. Follows up and corrects any items addressed and ensure necessary changes or recommendations have been implemented as directed.
  • Partners with systems administrator to create a robust, efficient process flow for productivity.
  • Responsible for department reporting, including management, senior management and Board reporting. Reviews and confirms the accuracy of internal system reporting as well as external reporting for regulatory and auditing agencies.
  • Resolves personnel issues and ensure cohesiveness among staff (inclusive of sales and operations).
  • Coordinates and cooperates with managers across departments and divisions to ensure optimum efficiencies are obtained.
  • Reviews and responds to monthly Quality Control report, when applicable making changes to improve results.
  • Monitors and ensures Post Closing deficiencies are resolved in a timely manner.
  • Understands and agrees to abide by the policies and procedures established at Southside Bank.
  • Complies with all applicable laws and regulations.
  • Performs duties in compliance with applicable laws and regulations, including but not limited to the Bank Secrecy Act (BSA) and related anti-money laundering laws, and in accordance with the Bank’s Information Security Program.
  • Maintains a positive and caring atmosphere for customers and employees consistent with the Southside Bank’s mission and philosophy.

Required Education/Experience

  • Bachelor’s degree (B. A.) from four-year College or university preferred
  • Minimum of 5 years related experience and/or training; or equivalent combination of education and experience. 
  • Extensive understanding of processing, underwriting and closing procedures

  • Excellent interpersonal skills required.
  • Attention to detail, strict deadlines and ability to work efficiently.
  • Strong communication skills, both verbal and written; strong writing skills, ability to communicate with various people in different departments.
  • Must be able to work strategically to add value, build trust, increase efficiency and positively impact the bottom line.
  • Demonstrated deep knowledge of underwriting guidelines (Gov't, Agency, and Non-QM).
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
  • Proficient personal computer skills including electronic mail, record-keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Prioritize, organize, and delegate assignments.

Travel:

  • Travel between responsible geographic areas is necessary.

Physical Activity/Dexterity:

  • Sedentary physical activity performing non-strenuous daily activities of an administrative nature.
  • Manual dexterity sufficient to reach/handle items and work with fingers. 
  • Close vision (clear vision at 20 inches or less).
  • Ability to lift up to 15 pounds.

Working Conditions/Environment:

  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
  • Moderate noise (e.g. business office with computers and printers, light traffic).

Work Schedule/Hours:

  • Monday through Friday; 8:00 a.m. – 5:00 p.m.
  • Available for overtime as needed.
