Position Details

Position Summary

Supports the student services department through maintaining all student files and serving as the primary record keeper for the student record in compliance with all State and Accreditation Standards. Performs several auditing functions such as file audits, grade audits and attendance audits ensuring compliance with SOX, State and Accreditation standards.

Principle Accountabilities & Deliverables

Thoroughly audits all new student files to ensure appropriate and required documentation is received according to ACCSCT and State standards.

Ensure Enrollment Agreements are fully executed in manner consistent with SOP, accreditation and regulatory requirements.

Ensure student record files are properly maintained and ensure accuracy of critical student data such as grades and attendance.

Manages off site record retention with Iron Mountain.

May be responsible for auditing daily attendance entered by instructors to ensure accurate reporting.

May be responsible for auditing grades and partnering with education to ensure accurate records are maintained.

May be responsible for ensuring attendance/grade corrections are received and entered within 24 hours of identification and maintains error log.

Responsible for all functions of graduation or helps support these functions (i.e. ordering cap and gowns, ensuring accuracy of graduate) and partnering with other departments regarding changes, printing diplomas, coordinating the set up of the graduation ceremony, printing graduation programs, preparing students for the graduation ceremony, etc.

Responsible for evaluating and approving secondary education credentials to ensure that students meet the UTI admissions criteria in compliance with all State and Accreditation standards.

Responds to student and parent requests for verification letters and transcripts and issues accordingly.

Acts as a back up for the Scheduler (depending on campus location).

Administers entrance exam tests or home school tests to future students.

Back up to the Scheduling Coordinator.

Other duties as necessary.

Knowledge, Skills, & Abilities

Education / Experience

High school diploma or completion of GED required

Two years experience with file management, record keeping or auditing.


Strong interpersonal, oral and written communication skills.

Demonstrated, strong organizational skills.

Knowledge of basic computing and word processing applications. Intermediate speed in 10-key.Ability to plan and adapt to change.


Must be able stoop, kneel, crouch, or crawl 5% or less of the workday

Must be able to talk, see, hear, concentrate, think, and reason for most or all of the workday

Must be able to sit for prolonged periods of time throughout the workday.

Must be able to use a keyboard and do manual tasks for prolonged periods of time throughout the workday.

Work Environment

Work is performed indoors in a climate controlled environment.

Minimal/limited travel may be required.
