The Administrative/Personal Assistant is responsible for providing professional support to the CEO and the Executive Assistant to CEO. He/she will collaborate with the Executive Administration team to handle personal and professional matters for the CEO and his family, and assist with errands and projects for other senior executive team members. A successful candidate will be able to work in a fast-paced environment, maintain complex schedules, and have considerable discretion for confidential business and personal matters.

  • Provides administrative support to the CEO, CEO’s Executive Assistant team, and other senior executives, while maintaining confidentiality at all times
  • Prioritizes action items to ensure all tasks are completed in a timely manner
  • Manages travel inquiries:
    • Schedules domestic and international travel arrangements for the CEO, Board Members, and senior executives
    • Creates streamlined itineraries that include all travel details (i.e. flight information, ground transportation, meals, etc.)
  • Serve as back-up for executive team calendar scheduling and phone coverage
  • Creates, reviews, and submits invoices, check requests, and expense reports
  • Assists with the preparation for meetings, earnings calls, and conferences:
    • Updates and prints meeting materials and presentations
    • Schedules meeting space and conference lines
    • Facilitates ordering and cleanup of beverages and refreshments
  • Drafts non-routine emails, memos, documents, and various reports for approval
  • Opens, sorts, and distributes incoming mail, e-mail, and faxes
  • Summarizes lengthy letters, e-mails, and invitations. Highlights key sentences and insures no calendar conflicts
  • Maintains accurate records and filing system for easy retrieval of information when requested
  • Other duties as assigned

  • Bachelor’s degree preferred
  • 1 – 2 years of experience in a similar professional administrative role required
  • Experience assisting an executive’s family preferred
  • Proficient in Microsoft Office Suite
  • Must possess a strong work ethic, integrity, and commitment to confidentiality
  • Professional, energetic, and self-motivated
  • Ability to plan and manage full administrative responsibilities with complex details
  • Exceptional time management and organization skills
  • Must be detail-oriented and accurate in all duties
  • Ability to work on multiple projects under tight schedules and deadlines
  • Effective professional verbal and technical written communication skills
  • Generally, a 40-hour work week (M-F: 8am-5pm or as determined by Manager). Must be flexible to work on weekends from time-to-time
  • Must be able to use personal vehicle for errands
  • Must possess a valid Texas driver’s license and clean driving record
  • Personal auto insurance coverage is required
